Brief

miMeetings is a web portal that revolves around the ground transportation domain. It lets event planners come onto the interface and request proposals for the ground transportation that is needed for events and conferences that may be taking place in different parts of the world. Post this, the team reaches out to these planners giving them options of various vendors and prices that suit their needs.

Few of the major challenges were to craft a portal which is easy and convenient to transit and navigate with a fluent user-centric approach.

Process

We did user research based on inputs from stakeholders and speaking to the team that will be one set of users for the product to understand the user base, their aspirations, expectations and what they seek in the product. Feature list was derived and low and high fidelity wireframes were designed as part of the initial design process

Based on inputs, we crafted wireframes for the website platform, emphasizing on:

  • Ease of use to ensure least number of dropouts
  • Taking detailed requirements from planners without making the form redundant and lengthy
  • Insightful dashboards and statistics for the miMeetings staff and planners
  • User retention by onboarding the user when a proposal request is made

We conducted design sync calls with stakeholders at various steps of wireframing and design to get ongoing feedback and inputs. This ensured relevant designing as per developmental constraints and hierarchy of features needed.

Once we fixed on the structure of wireframes, we moved to the user interface designing part. We researched on best colour palettes, design language and fonts that can be associated best with a product catering to events and transportation. We then designed the web application for each of the user roles.

With an assembled team of experts, we gathered first hand observations and experience with transportation and event domain. The team facilitated calls and meetings with stakeholders and end users to gather insights around current understanding, usage and expectations from the portal along with the pain points and suggestions.

We lso organised collaborative calls to understand the project environment, opportunities, limitations and business asks. We discussed and documented a set of user journeys that needed to be addressed and provided a user friendly experience.

We analyzed the requirements after speaking to the stakeholders and admin users who would be involved in reverting to the proposal requests and sourcing vendors for the same. We studied other similar products in the market which provided similar solutions in the domain. We identified and studied user personas to understand the different user roles that will be needed to cater to and their motivation and pain points.
